User’s list
The ‘User Management’ page displays a data grid containing a list of users.
For PF Admin, this list may include all users across Platinum Filing firm and all users with the Client Admin role across other firms.
For Client Admins, the user list includes only users associated with their firm and can be managed exclusively from this list.
The ‘User management’ page is available for PF Admin user and Client Admin user. Click the ‘Administrative tools’ icon to open ‘User management’ page.
The grid presents key user information such as Name, Firm name, Email, User role, Telephone and Time zone. PF Admin can manage users across Platinum Filing firm and all Client Admins. Client Admin can manage the list of users only for own firm.
Column definition:
Name – Displays the user’s full name in format First name Surname.
Firm name – Shows the name of the firm the user is associated with.
Email – Displays the email address linked to the user account.
User role – Indicates the role assigned to each user within the system.
Available roles for PF Admin include:
- PF Fulfillment User
- PF Specialist
- PF Manager
- PF Admin
- Client Admin
Available roles for Client Admin include:
- Admin
- Manager
- Standard user
- Limited access user
Telephone – Shows the user’s contact phone number. If a number is not provided, a dash (“–”) is displayed.
Timezone – Indicates the time zone in which the user is located.
If the text in any column exceeds its width, a tooltip with the full content appears when hovering.
By default, the list is sorted by creation date, displaying the most recent added users at the top. Columns such as Name and Firm Name support sorting. Sorting is toggled by clicking the column header:
- Ascending (A to Z): Arrow points upward
- Descending (Z to A): Arrow points downward
Add new user
Click New user button to open the entry form. Required fields include Firm name, Surname, First name, Email, Time zone, User role. Additional name(s)/initial(s) and Telephone are optional.
Firm name field:
Available list of firms for PF Admin include:
- ‘Platinum Filings LLC’.
- When a new user is being created, the default firm value is set to ‘Platinum Filings LLC’.
- all existing firms available in the system.
Available list of firms for Client Admin include:
- Current Firm name.
Time zone field:
Available list of time zones include:
- EST (UTC-05:00) Eastern Time
- CST (UTC-06:00) Central Time
- MST (UTC-07:00) Mountain Time
- PST (UTC-08:00) Pacific Time
- AKST (UTC-09:00) Alaska Time
- HAST (UTC-10:00) Hawaii-Aleutian Time
- AST (UTC-04:00) Atlantic Time
When a new user is being created, the default firm value is set to ‘CST’.
User role field:
Available roles for PF Admin include:
- PF Fulfillment User
- PF Specialist
- PF Manager
- PF Admin
If PF Admin changes firm different from ‘Platinum Filings LLC’ in role dropdown there is only one option availible – Client Admin.

Available roles for Client Admin include:
- Admin
- Manager
- Standard user
- Limited access user
Checkbox ‘Enable multi-factor authentication (MFA)’
When a new user is being created, the default state is unchecked.
After saving, the new user appears at the top of the grid. Also, there is option to Cancel or close exits the form without saving
Note: Attempting to create a record with duplicate values in ‘Email’ field, will result in an error when saving
Action menu
Clicking the three-dot (ellipsis) icon at the end of the row opens a dropdown menu with the following actions:
- Reset password
- Reset MFA
- Edit – Opens a form to update the user’s details.
- Delete – Initiates removal of the selected user from the list.
Edit user’s details
Selecting the Edit action from the action menu opens a pop-up window where user’s details can be modified. The following fields are available for editing: Surname, First name, Additional name(s)/initial(s), Telephone, Time zone, User role and checkbox for MFA settings.
Firm name and Email is disabled and can not be changed.
Delete user
Selecting the Delete action from the dropdown menu triggers one of two pop-ups, based on the next rules:
- Unable to delete user pop-up – Displayed when the user has active (filings that are not in status Complete or Canceled) filings where they are assignee or owner
The following options are available:
- Go to user filings – Opens ‘My filings’ grid where additional filters are applied according to the next rules:
- When deleting a client role (Limited Access User, Standard User, Manager, Admin):
- Owner must match the name of the user being deleted
- Statuses must exclude Canceled and Complete
- When deleting a PF Fulfillment User:
- Fulfillment Assignee must match the name of the user being deleted
- Statuses must exclude Canceled and Complete
- When deleting a PF Specialist, PF Manager, or PF Admin:
- Owner and/or Assignee must match the name of the user being deleted
- Statuses must exclude Canceled and Complete
- When deleting a client role (Limited Access User, Standard User, Manager, Admin):
- Cancel – Closes the pop-up without applying any changes.
- Alternatively, the pop-up can be dismissed using the 'X' icon.
- Delete user pop-up – Displayed when the user has no active filings assigned to them or they are owners and is eligible for deletion.
The following options are available:
- Yes, delete – Confirms and removes the user.
- Cancel – Closes the pop-up without applying any changes.
- Alternatively, the pop-up can be dismissed using the 'X' icon.
Reset password
If a user is still using a temporary password, a specific icon (e.g., hourglass) may appear next to their name indicating the password has not yet been changed.
Selecting the Reset password action from the dropdown menu triggers Reset password pop-up with the following options are available:
- Yes, reset – Initiates sending a temorary password via email for user and will be prompted to set a new one.
- Cancel – Closes the pop-up without applying any changes.
- Alternatively, the pop-up can be dismissed using the 'X' icon.
Search and filter the list
Filters can be applied to refine the users list. Selecting the filter button in the top-right corner opens a sidebar with filtering options by firm name, user role, timezone .
Once filters are applied and the filter panel is closed, the active filters are displayed above the table.
Users can also be located using the search field. As text is entered, the list dynamically updates to display matching entries based on users name/emails.
